KReport Settings allow you to automate the generation and delivery of business reports. Set up daily, weekly, or monthly schedules for sales analytics, inventory valuation, financial summaries, and staff performance reports to be automatically generated and emailed to stakeholders.
Navigate to Dashboard > Settings > Report Settings from the settings navigation tabs. The interface displays available report types with toggles for automation, scheduling options, and delivery preferences for each type.
For each report type, toggle the main switch to enable automated generation: Sales Reports - Toggle 'Enable Sales Reports' (recommended for daily tracking), Inventory Reports - Toggle 'Enable Inventory Reports' (weekly recommended), Financial Reports - Toggle 'Enable Financial Reports' (monthly for accounting), Staff Reports - Toggle 'Enable Staff Reports' (monthly for HR/payroll). When enabled, additional configuration options appear below each toggle. You can enable multiple report types simultaneously.
For each enabled report type, choose generation frequency: Daily - Report generated every day at configured time (best for sales, operations), Weekly - Generated every Monday (or configured day) morning (good for inventory, staff attendance), Monthly - Generated on the 1st of each month (ideal for financial, payroll). You can select multiple frequencies for the same report type (e.g., both daily AND monthly sales reports). Frequency affects data period included in the report.
Toggle 'Auto-email reports' to automatically send generated reports via email. When enabled, configure recipients: Enter email addresses (comma-separated for multiple), Example: 'owner@pharmacy.com, accountant@pharmacy.com, manager@pharmacy.com', Validate emails - system checks for valid format. Emails include: Report file attached (PDF, CSV, or XLSX based on format settings), Brief summary in email body, Links to view full report in PharmaSync dashboard. Ensure email addresses are kept up-to-date as staff changes occur.
Choose output format for each report type: PDF (Portable Document Format): Professional, formatted reports with charts and branding. Best for sharing with stakeholders, printing, or archiving. Read-only, preserves formatting. CSV (Comma-Separated Values): Raw data format for import into Excel, Google Sheets, or other analysis tools. No formatting or charts, just data. Ideal for custom analysis or data processing. XLSX (Microsoft Excel): Formatted spreadsheet with formulas, charts, and multiple sheets. Best balance of formatting and editability. Ideal for accountants and analysts. Select different formats for different recipients if needed (configure multiple automation rules).
Configure what time reports are generated and sent: Daily reports: Select time (e.g., 8:00 AM, 6:00 PM, midnight). Recommended: Early morning (7-8 AM) so reports are ready when you start work, or End of day (11:00 PM) to capture full day's data. Weekly reports: Day of week (Monday recommended for previous week's data), Time (e.g., 8:00 AM Monday). Monthly reports: Day of month (1st is default for previous month), Time (e.g., 9:00 AM on the 1st). Times use the timezone configured in Business Settings. Reports include data up to the generation time.
Customize sales report content: Include product breakdown (top 10, 20, or 50 products by revenue), Include payment method split (cash, M-PESA, card percentages), Include hourly sales distribution (identify peak hours), Compare to previous period (day-over-day, week-over-week, month-over-month), Show individual cashier performance (sales by staff member). More details = larger report files. Balance detail with readability.
Customize inventory report content: Low stock threshold for flagging (use value from Inventory Settings or override), Include stock valuation (total inventory value based on cost prices), Include turnover rate (how quickly products sell), Include expiry alerts (products expiring within X days - set threshold), Show dead stock items (no sales in last 90/180/365 days). These parameters help identify inventory issues and reorder needs.
Customize financial report content: Include revenue breakdown by category (prescription, OTC, accessories), Include expense categories (if expense tracking enabled), Compare to previous period (last month, last quarter, last year), Include profit margins (gross and net), Show accounts receivable (outstanding credit sales), Include cash flow summary. Ensure accuracy by reconciling with accounting software regularly.
Customize staff report content: Include attendance rate (percentage of days present), Include leave balance summary, Include overtime hours and costs, Show sales performance by staff member, Include task completion rates (if task management used). Privacy consideration: Limit distribution of staff reports to authorized managers and HR only.
