Profile Management

Update Your Personal Information
Manage your profile information including first name, last name, phone number, and profile image. Keep your information current for accurate identification and communication within your pharmacy team.

Profile Management allows you to update your personal information displayed throughout PharmaSync. Your profile helps colleagues identify you, appears on transactions you process, and ensures administrators can contact you when needed.

Some account information cannot be self-edited for security and compliance reasons. Contact your administrator if these details need changing.

Updating Your Profile

Navigate to Profile Settings

Click on your profile avatar or name in the top-right corner of the dashboard. From the dropdown menu, select 'Profile' or 'Account Settings'. You'll be taken to the Profile Management page at /dashboard/profile. Alternatively, if you're already in Account Settings, your profile form is at the top of the page.

Update Your Name

In the 'Profile Information' section: Click on the 'First Name' field and update your given name (required, cannot be empty). Click on the 'Last Name' field and update your surname (required). Use your real, professional name - this appears on transaction records and reports for accountability. Avoid nicknames or informal names unless that's how you're professionally known.

Update Your Phone Number

Click on the 'Phone Number' field. Enter your mobile phone number in the format: With country code (e.g., +254712345678 for Kenya), or Local format (e.g., 0712345678). This number is used by administrators for: Shift scheduling and changes, Urgent operational communications, SMS notifications (if enabled). Keep this current so you don't miss important updates. Field is optional but highly recommended.

Save Your Changes

After updating name or phone fields, click the 'Save Changes' or 'Update Profile' button at the bottom of the section. Changes save immediately - you'll see a success confirmation message (green toast notification). If there's an error (e.g., invalid phone format), you'll see an error message explaining the issue. Correct the error and save again. Your updated profile information appears immediately across the system.


Uploading a Profile Image

Access Image Upload

In the Profile Information section, locate your current profile image or avatar placeholder (usually displays your initials if no image is set). Click the 'Change Image', 'Upload Photo', or camera icon button. This opens the image upload interface.

Select Your Image File

Click 'Browse' or 'Choose File' to open your computer's file browser, OR drag and drop an image file directly onto the upload area. Select an image file meeting these requirements: Format - JPG, JPEG, PNG, or WebP, Maximum size - 5MB (larger files will be rejected), Recommended - Square images (1:1 aspect ratio) at least 200x200px resolution. Tip: Use a recent, clear headshot with good lighting and a neutral background.

Crop and Adjust (If Available)

If the system provides a crop tool: Adjust the crop box to frame your face properly (center your face, exclude unnecessary background). Choose aspect ratio (usually square/1:1 for best display across all contexts). Preview the cropped result. If not satisfied, click 'Cancel' and upload a different image. If satisfied, click 'Apply' or 'Crop'.

Upload and Confirm

Click 'Upload' or 'Save Image' to finalize. The system: Resizes the image to appropriate dimensions (typically 200x200px or 400x400px), Compresses if needed to reduce file size, Updates your profile immediately. You'll see: Success confirmation message, Your new profile image in the top-right dashboard header, Updated image in the profile section. The image appears wherever your profile is displayed (transaction logs, staff directory, reports).

Troubleshooting Profile Updates

Common Issues and Solutions
If you encounter problems updating your profile, these solutions should help resolve most issues.

"Image file too large" error

  • Problem: Your image exceeds the 5MB limit
  • Solution: Compress the image using online tools or photo editing software. Reduce resolution to 1000x1000px or smaller (200x200px is sufficient for profile photos)

"Invalid file format" error

  • Problem: File type not supported
  • Solution: Convert your image to JPG, PNG, or WebP. Use online converters like cloudconvert.com or built-in OS tools. Screenshots (.png) and camera photos (.jpg) typically work without conversion

Profile image not updating

  • Problem: Upload seems successful but image doesn't change
  • Solution: Hard refresh your browser (Ctrl+F5 on Windows, Cmd+Shift+R on Mac) to clear cached old image. Log out and log back in. Clear browser cache completely if issue persists. Check if upload actually succeeded (look for success message)

Changes won't save

  • Problem: Clicking Save doesn't update information
  • Solution: Check for validation errors (red text below fields) - fix those first. Ensure required fields (first name, last name) aren't empty. Check internet connection - changes require server communication. Try refreshing the page and entering changes again
