Viewing Individual Products

The product details page is your central location for managing a single product. Access all product information, batch details, pricing history, and transaction records from one comprehensive interface.

Product Information Section

The product information section displays all product-level details. Click the edit button to modify product information without affecting batch-specific data.

Product details include:

  • Product name (custom or from catalog)
  • Custom name for local reference
  • Generic name (for pharmaceutical products)
  • Category and subcategory
  • Product description
  • Product image
  • Store availability toggle

Batch Management

Understanding batches is key to effective inventory management. Each product can have multiple batches with different purchase dates, expiry dates, and pricing. The system uses FIFO (First In, First Out) to automatically deduct from the earliest expiring batch during sales.

Managing Batches

1

Edit Batch

Click pencil icon to open batch edit drawer. Modify quantity, pricing, expiry date, shelf location, or other batch-specific details.

2

View Batch History

Click batch row to see full transaction history including purchases, sales, adjustments, and stock taking records.

3

Delete Batch

Click delete icon for depleted or incorrect batches. Requires confirmation if sales history exists to prevent accidental data loss.

Deletion Warning
Deleting a batch with sales history removes transaction records from reports. Export batch data first if you need historical records for accounting or compliance.

Understanding FIFO

The system automatically uses First In, First Out (FIFO) methodology when deducting inventory during sales:

  • Automatic Selection: The batch with the earliest expiry date is deducted first
  • Stock Rotation: Ensures older stock sells before newer stock
  • Expiry Prevention: Minimizes waste by selling products before they expire
  • Manual Override: You can manually select a specific batch during POS if needed
Automatic Stock Rotation
FIFO ensures proper stock rotation without manual intervention. The oldest batch (by expiry date) is always deducted first during sales, minimizing expiry losses.

Transaction History

Every product maintains a complete transaction history showing all inventory movements:

  • Purchase transactions with supplier and invoice details
  • Sale transactions with customer and receipt information
  • Stock adjustments with reasons and performer details
  • Stock taking results with variance information
  • Batch transfers and quantity modifications

Use the transaction history to:

  • Track product movement patterns
  • Identify high-velocity products
  • Audit inventory changes
  • Verify supplier delivery accuracy
  • Analyze sales trends by batch
